Terms of Service
Rules and limitations for accessing Claimo's website, early-access program, dashboards, document processing, and AI-assisted compliance workflows.

1. Agreement to these terms
These Terms of Service govern access to and use of Claimo's website, early-access materials, software, dashboards, document processing, and related services. By accessing or using Claimo, you agree to these Terms on behalf of yourself and, if applicable, the organization for which you use the service.
If your organization enters into a signed order form, pilot agreement, data protection addendum, business associate terms, statement of work, or other written agreement with Claimo, that written agreement controls to the extent it conflicts with these Terms. If you do not agree to these Terms, do not access or use Claimo.
2. Definitions
Authorized Users means the customer's employees, contractors, advisors, or other personnel who are permitted by the customer to access Claimo under the customer's account or workspace.
Customer Data means documents, files, records, metadata, extracted fields, review notes, configuration, audit records, risk flags, and other information submitted to or generated through Claimo for a customer workspace.
Platform means Claimo's hosted software, dashboards, APIs, document-processing workflows, AI-assisted review features, reports, support materials, documentation, and related services.
PHI means protected health information as defined by HIPAA. Whether information is PHI depends on the source, context, use case, and legal role of the parties.
3. Product purpose and limitations
Claimo provides ABA-specific compliance intelligence intended to help organizations review billing patterns, authorization utilization, documentation support, claim-note alignment, and related operational risk. Claimo does not provide legal advice, medical advice, clinical supervision, billing certification, payer approval, audit defense, or a guarantee of reimbursement.
Outputs such as risk scores, flags, summaries, suggested fixes, authorization status, and line-level matching are decision-support tools. Customers remain solely responsible for professional review, billing decisions, documentation amendments, clinical judgment, legal determinations, payer submissions, and compliance programs.
Claimo may be offered as a pre-launch, beta, pilot, or early-access product. Features may change, be incomplete, contain errors, or be discontinued. Claimo may modify workflows, scoring logic, models, data fields, integrations, and user interfaces as the product develops.
4. Access rights and authorized use
Subject to these Terms and any applicable written agreement, Claimo grants the customer a limited, non-exclusive, non-transferable right for Authorized Users to access and use the Platform for the customer's internal business operations and evaluation of ABA compliance workflows.
The customer is responsible for all activity under its workspace, including actions by Authorized Users, invited personnel, contractors, and anyone who accesses Claimo using the customer's credentials or account configuration.
Claimo may set reasonable limits on users, documents, storage, usage volume, support scope, beta features, or processing capacity. Any paid plan, pilot scope, implementation service, pricing, or usage limit should be confirmed in a written order form or other written agreement.
5. Waitlist, pilots, and early access
Submitting a waitlist or early-access request does not guarantee admission, timing, pricing, feature availability, support scope, or production access. Claimo may prioritize requests based on product fit, practice needs, security readiness, contracting requirements, and operational capacity.
Early-access materials, screenshots, sample data, demos, and product previews may be illustrative. They may not reflect final functionality, production performance, all edge cases, or the exact configuration available to a particular customer.
Do not submit patient-identifying information through public website forms, waitlist forms, demos, or general email. Production PHI should not be uploaded unless Claimo has provided an approved secure workflow and the required written contractual terms are in place.
6. Eligibility and account responsibilities
You must use Claimo only for lawful business purposes and only if you have authority to bind or act for the organization whose records are processed. You are responsible for maintaining the confidentiality of credentials, managing user access, and promptly notifying Claimo of suspected unauthorized access.
Customers are responsible for ensuring that uploaded materials are appropriate for processing, that users have permission to access the records they upload or view, and that their use of Claimo complies with applicable healthcare, privacy, employment, billing, payer, and professional obligations.
Customer administrators are responsible for user invitations, role assignments, MFA and password practices where available, offboarding, internal approvals, access reviews, endpoint security, and ensuring that users access only records they are permitted to view.
7. Customer data and permissions
As between Claimo and the customer, the customer retains ownership of documents, records, data, and content submitted to the service. The customer grants Claimo the rights necessary to host, process, analyze, transmit, display, secure, support, and improve the service in accordance with the applicable agreement and privacy terms.
Customers represent that they have all rights, consents, authorizations, and legal bases necessary to submit information to Claimo, including any information concerning patients, employees, providers, payers, claims, authorizations, or clinical documentation.
Claimo may generate derived data such as extracted fields, match statuses, risk scores, audit logs, operational metadata, de-identified examples, and aggregate performance metrics. Derived data may be used to provide the service, improve reliability, maintain security, evaluate model quality, and improve product performance, subject to confidentiality and privacy obligations.
8. PHI, HIPAA, and business associate terms
Customers are responsible for determining whether their use of Claimo involves PHI and whether they are a covered entity, business associate, subcontractor, or other regulated party. Claimo does not provide legal advice and does not determine a customer's HIPAA status.
If a customer's workflow requires Claimo to create, receive, maintain, or transmit PHI for or on behalf of a covered entity or business associate, the parties must agree to appropriate written business associate or data protection terms before production PHI is submitted. These Terms do not themselves create a business associate agreement.
Unless and until the necessary written terms and operational approvals are in place, customers should treat Claimo as not approved for production PHI workflows and should use only non-PHI, synthetic, test, or de-identified materials.
9. Customer review and source documents
Claimo depends on the accuracy, completeness, and authorization status of documents and data supplied by customers. Missing, incomplete, duplicate, incorrectly labeled, or stale source records can affect outputs.
Customers are responsible for reviewing source documents and Claimo outputs before taking action. Claimo does not submit claims, amend clinical records, certify notes, approve authorizations, or communicate with payers on the customer's behalf unless a separate written agreement expressly says otherwise.
Sample data, screenshots, public marketing materials, and product examples are for demonstration and explanation only. They should not be treated as billing advice, clinical guidance, or payer-specific policy.
10. AI-assisted outputs
Claimo may use automated and AI-assisted systems to extract, classify, compare, summarize, and score information. These systems may be probabilistic and may produce incorrect, incomplete, outdated, or context-dependent outputs.
Customers must independently validate outputs against source records, applicable payer rules, clinical documentation, authorization requirements, contracts, and applicable law before taking action. Claimo is not responsible for decisions made without appropriate human review.
Customers may not use Claimo outputs as the sole basis for clinical decisions, patient treatment, employee discipline, legal conclusions, claim submissions, medical necessity determinations, or payer appeals unless qualified personnel independently review and approve the decision.
11. Prohibited uses
You may not use Claimo to violate law, infringe rights, process data without authorization, reverse engineer or attempt to extract source code, interfere with platform security, bypass access controls, upload malicious code, benchmark the service for competitive purposes without permission, or use outputs as a substitute for required professional judgment.
You may not represent that Claimo guarantees claim payment, payer acceptance, audit immunity, HIPAA compliance for your organization, legal compliance, or clinical adequacy. You may not remove notices, alter audit trails, or use Claimo to create misleading documentation.
You may not upload data that you are not authorized to process, use Claimo to conceal known non-compliance, fabricate documentation, harass employees or providers, train a competing system, probe for vulnerabilities without authorization, overload the service, or make decisions prohibited by applicable law or professional obligations.
12. Confidentiality and security
Each party may receive confidential information from the other. Confidential information must be protected using reasonable care and used only for purposes authorized by the relationship. Customer records, platform non-public features, security information, pricing, and product roadmaps are confidential unless otherwise agreed in writing.
Claimo uses safeguards intended to protect customer data, but no system is completely secure. Customers are responsible for secure account administration, accurate access controls, endpoint security, and appropriate internal policies for handling exported reports or downloaded records.
Security questionnaires, data-flow documentation, vendor review materials, and other diligence information may be provided under appropriate confidentiality terms when relevant to a pilot or customer relationship. Claimo does not currently represent that it has completed SOC 2, a third-party penetration test, or a formal external certification unless a separate current report is provided in writing.
13. Third-party services and integrations
Claimo may use hosting providers, authentication providers, storage systems, AI infrastructure, analytics systems, email services, or other third-party services. Third-party services may be subject to separate terms and availability constraints.
Claimo is not responsible for third-party systems outside its control, including source-system availability, payer portals, customer network conditions, or the completeness and accuracy of source documents provided by customers.
Claimo does not currently represent that it connects to every EMR, clearinghouse, payer portal, customer system, or source-data workflow. Any integrations, import workflows, data exports, or implementation services must be confirmed in the applicable product documentation, order form, or written agreement.
14. Fees, orders, and payment
If Claimo offers paid access, fees, billing cadence, taxes, renewal terms, implementation services, and usage limits will be described in the applicable order form, invoice, or written agreement. Unless a written agreement says otherwise, fees are non-refundable once paid.
Claimo may suspend or limit paid access for non-payment after reasonable notice, subject to the terms of the applicable written agreement. Customers remain responsible for taxes, third-party system fees, and customer-side implementation costs unless a written agreement says otherwise.
Quotes, proposals, and pricing discussions are not binding until accepted in a written order form, invoice, or other written agreement approved by Claimo.
15. Availability, changes, and support
Claimo may update, suspend, limit, or discontinue features as the product develops, as required for security or reliability, or as necessary to comply with law or contractual obligations. Early-access features may be experimental and may not be covered by formal service-level commitments.
Support channels, response times, onboarding assistance, training, implementation services, maintenance windows, and uptime commitments depend on the applicable plan, pilot terms, or written agreement. Claimo may provide general product guidance but does not replace a customer's internal compliance program.
Claimo may perform maintenance, deploy updates, restrict features, or take emergency action when reasonably necessary to protect security, reliability, legal compliance, customer data, or platform integrity.
16. Intellectual property and feedback
Claimo and its licensors retain all rights in the Platform, software, workflows, models, documentation, designs, code, know-how, templates, prompts, scoring methods, and other Claimo technology. No rights are granted except as expressly stated in these Terms or a written agreement.
Customers retain rights in their Customer Data. Claimo may use Customer Data only as permitted by these Terms, the Privacy Policy, and any applicable written agreement.
If you provide suggestions, ideas, corrections, requests, or other feedback, Claimo may use that feedback without restriction or compensation, provided Claimo does not disclose customer confidential information in doing so.
17. Publicity and references
Claimo will not publish a customer's name, logo, case study, or testimonial without the customer's permission or an applicable written agreement. General, anonymized, or aggregate statements that do not identify a customer may be used to describe product performance, usage patterns, or market insights.
Customers may not use Claimo's name, logo, screenshots, non-public product information, or security materials in public materials without Claimo's permission, except as permitted by law or a written agreement.
18. Disclaimers
To the maximum extent permitted by law, Claimo is provided on an as-is and as-available basis. Claimo disclaims warranties of merchantability, fitness for a particular purpose, non-infringement, uninterrupted operation, error-free operation, audit outcome, reimbursement outcome, or suitability for a customer's specific legal, clinical, or billing requirements.
No information provided by Claimo should be treated as legal, medical, billing, accounting, or payer-specific advice. Customers should consult qualified professionals before making compliance, clinical, legal, or billing decisions.
19. Limitation of liability
To the maximum extent permitted by law, Claimo will not be liable for indirect, incidental, special, consequential, exemplary, punitive, or lost-profit damages, or for loss of data, revenue, goodwill, business opportunity, payer reimbursement, or audit outcome, even if advised of the possibility of such damages.
To the maximum extent permitted by law, Claimo's aggregate liability arising from or related to these Terms or the service will not exceed the amount paid to Claimo by the customer for the service during the three months preceding the event giving rise to the claim, or one hundred dollars if no fees were paid, unless a separate written agreement states otherwise.
20. Customer indemnity
To the maximum extent permitted by law, customers are responsible for claims, losses, liabilities, damages, costs, and expenses arising from Customer Data, unauthorized use of records, misuse of Claimo, violation of these Terms, violation of law, infringement or privacy claims caused by customer-provided materials, or decisions made from Claimo outputs without appropriate professional review.
Any Claimo indemnity, IP defense obligation, data-security remedy, or other negotiated risk allocation must be stated in a separate written agreement signed or otherwise accepted by Claimo.
21. Suspension, termination, and effects
Claimo may suspend or terminate access if we reasonably believe an account is being misused, presents a security risk, violates these Terms, infringes rights, creates legal exposure, or threatens the operation of the service. Customers may stop using Claimo at any time, subject to any written agreement.
Upon termination, access rights end and the customer must stop using the Platform. Claimo may provide reasonable export assistance for Customer Data when required by a written agreement or applicable law, subject to security, legal, technical, and operational limitations.
Certain provisions survive termination, including confidentiality, customer data permissions needed to complete wind-down obligations, disclaimers, limitations of liability, payment obligations, ownership, audit and legal retention provisions, and any other terms that by their nature should survive.
22. General terms
Neither party is liable for delay or failure caused by events beyond its reasonable control, including natural disasters, labor disputes, war, government action, internet or utility failures, third-party service outages, security emergencies, or other events that could not reasonably be prevented.
Customers may not assign these Terms or transfer access to Claimo without Claimo's permission, except as allowed in a written agreement. Claimo may assign these Terms in connection with a merger, acquisition, financing, reorganization, or sale of assets.
If any part of these Terms is unenforceable, the remaining terms remain in effect. Failure to enforce a provision is not a waiver. These Terms, together with any referenced written agreements, form the applicable agreement for use of Claimo.
We may update these Terms as the service changes. Material changes will be reflected by the last-updated date and, where appropriate, additional notice. Continued use after changes become effective constitutes acceptance of the updated Terms.
